How to Use China Trade Shows
From Canton Fair to industry expos β the fastest way to meet real factories
Hi, this is GreenFrog Seoul.
"I contacted 100 suppliers on Alibaba and almost all of them turned out to be trading companies."
"The samples are great but the unit price keeps shifting once we hit mass production. I think I need to meet real factories."
"This year I'm finally flying to Guangzhou. Where do I even start?"
In China sourcing, trade shows are the compressed version of factory matching. The 30 suppliers you'd normally filter through over six months on Alibaba can all be met in three days at Canton Fair. More importantly, you actually touch the samples, get printed price lists, see the factory owner's face, and decide on the spot.
A factory that paid for a booth and shipped its samples to Guangzhou
is far more serious than a "trading company" boasting "$1M monthly revenue, 300 employees" online.
Today, drawing on 7+ years of China OEM/ODM fieldwork and annual Canton Fair / Yiwu Expo accompaniment with our clients, we're going to lay out how to fully use China trade shows. One round-trip ticket can save you six months of sourcing time.
1. Why Trade Shows β The Limits of Online Sourcing
It's tempting to think Alibaba and 1688 are enough. But the deeper a seller goes into mass production, the more they'll say "I would have been in serious trouble if I hadn't gone to a trade show."
| Dimension | Online Sourcing (Alibaba/1688) | On-Site Trade Show Sourcing |
|---|---|---|
| Factory vs trading company ID | Very hard | Read it from booth size & sample depth |
| Sample inspection | Int'l shipping 7~14 days, costs money | Touch & compare on the spot |
| Price negotiation | 1~2 weeks of email/WhatsApp ping-pong | 10-min talk β first quote in hand |
| Side-by-side comparison | 30 browser tabs + spreadsheet | 5~10 factories within walking distance |
| New product / trend discovery | Trapped in platform algorithm | Whole industry in one venue |
| Talking to the factory boss | Almost impossible | Possible (esp. Canton Fair Phase 3) |
| Relationship (Guanxi) | Weak | Strong β affects price/MOQ directly |
| Lead time to sourcing | 3~6 months compressed | 3 days for the core matching |
2. Canton Fair (China Import & Export Fair) β A Full Breakdown
The largest trade fair in China and one of the largest in the world. Held biannually in Guangzhou since 1957, every spring and autumn. Each session has roughly 25,000 booths and 200,000+ visitors. For first-time buyers from Korea, Japan, or Southeast Asia, this is the #1 trade show to attend.
Schedule β Spring/Autumn, 3 phases each, 5 weeks total
| Phase | Main Categories | Spring (approx.) | Autumn (approx.) |
|---|---|---|---|
| Phase 1 | Electronics, home appliances, lighting, vehicles, machinery, hardware, tools, building materials | Apr 15~19 | Oct 15~19 |
| Phase 2 | Furniture, home decor, kitchen, bath, ceramics, glass, garden, gifts | Apr 23~27 | Oct 23~27 |
| Phase 3 | Textiles, apparel, shoes, bags, watches, beauty, pharma, food, toys, stationery | May 1~5 | Oct 31~Nov 4 |
Venue β Canton Fair Complex, Pazhou, Guangzhou
A massive exhibition complex about 30~40 minutes by metro from downtown Guangzhou. 15+ halls (Hall A~D, A1~A5, B1~B5, C1~C2β¦), 1.3 million mΒ² total floor space. Walking the entire venue is more than 25km on foot, so route planning is mandatory.
Registration β Buyer Badge
- Online pre-registration: Sign up at cantonfair.org.cn 1~2 months before. Free
- On-site registration: Possible, but the queues are very long. Bring business card + passport
- Badge types: Buyer / Visitor / VIP. Pre-registered buyers get faster entry
- Valid for 3 years: One registration is reusable for three years (just update info)
Visa β China visa-free or business visa
As of 2024, citizens of many countries (including Korea) can enter China visa-free for up to 15 days for tourism or business. That said, having an official Invitation Letter from the trade show makes immigration smoother. You can download the PDF from your Canton Fair registration dashboard.
3. Canton Fair Booth Strategy β Cover 100 Booths in 3 Days
If you wander 15 halls without a plan, you'll just end up with sore feet and a stack of business cards you can't decipher. The key is 3 days of efficient routing + ranked priorities + a memo system.
D-30: Pre-mapping booths
- Search the official Canton Fair app/site by your category keywords
- Build a spreadsheet of 30~50 booths of interest (company, hall, booth #, keyword, priority A/B/C)
- Download the floor plan PDF and color-mark booths
- Cluster by hall β Day 1 Hall A, Day 2 Halls B/C, Day 3 Hall D + revisits
D-day: Daily field operations
| Time | Activity | Tip |
|---|---|---|
| 09:00~10:30 | Deep meetings at 5~7 A-tier booths | Decision-makers are most likely on-site in the morning |
| 10:30~12:00 | Quick scan of B-tier booths | Card + catalog only, move on within 5 min |
| 12:00~13:30 | Lunch + memo cleanup | Write up morning's 5~7 meetings immediately |
| 13:30~16:00 | Same hall: keep exploring + new finds | Best window for unexpected great booths |
| 16:00~17:30 | Re-visit A-tier / collect quotes / lock follow-up dates | Late afternoon = factory bosses more open to negotiation |
| Evening | Hotel: card scans, photos, memos | Skip this and you won't know who's who in 3 days |
Booth meetings β 5 / 15 / 30 minute tiers
- 5-min visit: Drop in, grab catalog + card, leave. B/C-tier booths
- 15-min visit: Look at one or two products in depth, get baseline MOQ + quote. Average meeting
- 30-min+ visit: Card exchange β invited to sit down β tea/water β real quote + sample agreement. A-tier
4. Spotting a Real Factory vs a Trading Company in 5 Minutes
Plenty of trading companies and middlemen show up at Canton Fair too. Here's how to identify a real factory in five minutes at the booth.
Real-factory signals
- The booth shows actual mass-production line photos and videos, not just product shots
- Product range is focused on one category (if everything from electronics to apparel is on display, it's likely a trading co)
- Booth staff include engineers or factory boss types (mid-aged or older)
- They can explain the QC and finishing details of the sample on the spot
- Company address is in a manufacturing cluster (Guangdong, Zhejiang, Jiangsu, Fujian)
- "Let me show you our factory" β they actively show you photos in their phone gallery
- Alibaba Gold Supplier + "Verified Manufacturer" badge
Trading-company / middleman signals
- Beautiful booth but category range is too broad (electronics + furniture + apparel)
- Samples are uniformly tagged with the same stickers / packaging (not made in-house)
- "Where's your factory?" gets a vague answer
- Quoting on prices: "Let me check with the factory and get back to you" happens often
- Company address is a Hong Kong / Shenzhen downtown / Shanghai Pudong office
- Their English is unusually fluent (factory bosses usually have weaker English)

6. Yiwu Expo & Yiwu Market
Yiwu (ηΎ©η) in Zhejiang Province is the world's largest small-commodity wholesale market. The Yiwu Expo runs every October, but really the Yiwu International Trade City itself is a 365-day-a-year trade show.
Yiwu International Trade City β 5 districts
| District | Main Categories | Approx. Booths |
|---|---|---|
| District 1 | Toys, artificial flowers, accessories, hair | ~10,000 |
| District 2 | Bags, umbrellas, watches, hardware | ~8,000 |
| District 3 | Stationery, sports, cosmetics, eyewear | ~6,000 |
| District 4 | Socks, underwear, apparel, shoes, sundries | ~12,000 |
| District 5 | Furniture, home decor, auto goods, electronics | ~7,000 |
Total roughly 75,000~80,000 booths. Even at five minutes each, you can't see them all. The decisive difference vs Canton Fair is "factory vs wholesaler."
Yiwu Market vs Canton Fair β what's different
| Dimension | Canton Fair (Guangzhou) | Yiwu Market |
|---|---|---|
| Who's there | Manufacturing factories (large) | Wholesalers / middlemen (few large factories) |
| MOQ | 500~5,000 pcs | 1 box (20~100 pcs) possible |
| OEM / customization | Strong | Weak (mostly off-the-shelf) |
| Pricing | Factory-direct | +10~20% wholesaler margin |
| Quality consistency | High | Variable |
| Best for | OEM, mid-to-large orders | Small lot, general merchandise, test orders |
| Schedule | Fixed spring/autumn | 365 days a year (except Spring Festival) |
7. D-30 Pre-Show Preparation Checklist
Trade shows are won before you board the plane. Without prep, three days are wasted.
D-60 ~ D-30: The big picture
- Confirmed the right show and phase for your category
- Booked flights and hotel (2~3 months out)
- Verified visa or visa-free entry conditions for China
- Pre-registered (e.g., on cantonfair.org.cn) and downloaded the invitation letter
- Built a spreadsheet of 30~50 booths of interest (company, hall, booth #, priority)
- Prepared a 1~2 page company overview PDF in English
- Defined the specs, target MOQ, and target price of what you're sourcing
D-14 ~ D-1: Details
- Printed 200+ business cards in English (you'll burn through them)
- Downloaded and printed the floor plan PDF
- Created a WeChat account (90% of card exchanges happen on WeChat)
- Installed and topped up Alipay / WeChat Pay (for on-site payments and meals)
- Installed a VPN (Google / Gmail / YouTube access)
- Bought a Chinese eSIM or roaming data plan
- Brought a 20,000mAh+ power bank (all-day photo / translation use)
- Comfortable shoes (running shoes) + light bag (15~25km of walking per day)
- Foldable luggage / oversized bag for carrying samples
What to bring on-site
- Business cards: 200+. English on one side, Chinese on the other recommended
- Company brochure: 1~2 page PDF + 30 printed copies
- Product photos / drawings: References for what you're sourcing (phone + printed)
- Spec sheet: Sizes, colors, materials, MOQ, target price summarized in English
- Plastic business card folder: For organizing 100~300 cards
- Highlighters and Post-its: Mark each card immediately (A/B/C grade, colors)
- Translation apps: Papago, Google Translate, ChatGPT voice mode
- QC kit (optional): Tape measure, gauges, digital scale β for on-the-spot inspection
8. On-Site Negotiation with Suppliers
Booth impressions are formed in five minutes. The whole game is whether you look like a serious buyer in that short window.
The first 5 minutes β looking like a pro buyer
- Exchange cards with both hands: Chinese business etiquette. Don't pocket the card immediately β actually look at it for a moment
- Lead with specific questions: "What's the MOQ for this?" "Are you using C-flute or B-flute?" β technical vocabulary changes how seriously you're treated
- Position yourself in one sentence: "I run a [category] brand in [country], selling on [Amazon US / Coupang / etc.]"
- Touch the sample while commenting on details β "Is this finish ABS? What's the wall thickness?"
- Signal real intent: "We're considering 1,000 pcs initial β 5,000 pcs in 6 months"
What to extract from the booth
- FOB price list (PDF): by quantity tier (500/1,000/3,000/5,000)
- MOQ explicitly: per product / per color / per packaging spec
- Lead time: sample / mass production separately
- Sample policy: free / paid / deductible from main order
- Payment terms: T/T 30:70 / L/C / Alipay
- Factory address: Can you visit later? A flat refusal is a trading-co red flag
- Recent export references: Korea, US, EU β who they're shipping to right now
Five-step negotiation script
Step 1 β State volume before asking price
"We're planning 5,000 pcs initial order, with potential repeat every quarter. What's your best FOB price for that volume?"Step 2 β Never accept the first quote
"That's higher than we expected. We've been quoted around $X.X from 2~3 other suppliers. Can you match or beat that?"Step 3 β Trade other terms for price
"If we commit to 10,000 pcs over 12 months, can you bring it to $X.X? Or include free packaging design?"Step 4 β Don't force an immediate answer
"Take your time. Send me your final quote via WeChat by tomorrow evening. I'll be visiting other suppliers today."Step 5 β Trust signal: schedule a factory visit
"After the fair, I'd like to visit your factory in [city]. Can we schedule a visit on [date]?"
9. GreenFrog Seoul's Trade Show Accompaniment Service
Your first Canton Fair is overwhelming. Which hall first, which booths are real factories, what to ask inside the booth β these are hard for a first-timer to figure out alone.
GreenFrog Seoul provides on-the-ground accompaniment by Korean consultants based in China for 7+ years, covering everything from pre-mapping to live interpretation, negotiation, and post-show follow-up.
Trade show package structure
| Stage | What we do |
|---|---|
| D-30 pre-consulting | Category analysis β recommended show & phase β mapping 30~50 booths of interest |

- Match field memos (notes, photos) to each company name
- Sort A (immediate quote request) / B (contact within 2 weeks) / C (archive)
- For factories you didn't add on WeChat β send the request now
D+3 ~ D+7: A-tier follow-up quotes
Send email + WeChat in parallel. Email is for the formal record; WeChat is for fast comms.

Today's key takeaways:
- Why trade shows: real-factory identification + immediate sample inspection + leverage + relationship
- Canton Fair: 3 phases each in spring/autumn β picking the right phase for your category is step 1
- Booth strategy: D-30 pre-mapping + 5/15/30-min meetings + nightly cleanup
- Factory ID: production line photos, category focus, factory boss on-site, factory address β the key signals
- Industry shows: Canton Fair + 1 specialty show is the strongest combo
- Yiwu: best for small-lot, off-the-shelf testing β OEM through Canton Fair
- On-site negotiation: WeChat add + factory visit invite is where it really starts
- Follow-up: the 30 days after the fair are the real game β D+3 quotes, D+14 samples, D+30 order
